The Exhibition Manager is responsible for the production and realization of the exhibitions that make MOCA an accessible, responsive, and engaging museum for Toronto’s diverse, intergenerational community. The Exhibition Manager works closely with the programme team on a diverse range of projects and exhibitions, from concept to installation. Many of MOCA’s programmes support the creation of new artworks. In collaboration with other programming team members, the Exhibition Manager plays a vital role in seeing these commissions through to fruition. To achieve this, the Exhibition Manager needs to have excellent organizational and communication skills, with strong intuition and an ability to problem solve on hand, as well as to prepare contingency plans in advance of possible setbacks.
Key Responsibilities
- Acting as the main point of contact for artists and galleries once project concepts and production approaches have been approved for exhibition by the Artistic Director and the artist has signed an MOU or Agreement
- Preparing checklists, loan agreements, artist agreements, production agreements and permits in collaboration with relevant team members
- Development of floor plans and installation timelines with the Exhibition Designer
- Overview of all requirements for the exhibition in collaboration with the Production Lead and Exhibition Designer
- Managing the budget with support from the Artistic Director, ensuring all lines are up to date and all projects are completed within budget
- Ensuring all incoming invoices and fee payments
- Ensuring that travel, accommodation and hosting for visiting artists and arts professionals are arranged in a cost-effective and appropriate manner
- Liaising with foundations, museums and private lenders, providing requested facility reports and other documentation
- Managing complex, multiple origin/destination shipments; completing all necessary customs documentation and liaising with brokers
- Manage the production team to ensure the crating and packing of artwork is done properly on and offsite
- Liaising with insurance providers for all artworks; noting incoming/outgoing artwork shipments and making recommendations of additional coverage amounts needed for new exhibition cycles
- Sourcing exhibition materials, gaining quotes and arranging print/framing/production as required
- Liaising between curators, artists and external fabricators
- Responsible for interviewing, hiring and onboarding new preparators in consultation with the Production Lead and Exhibition Designer, ensuring a safety-first culture
- Overseeing preparators through unpacking and packing artwork with support from the Production Lead and Exhibition Designer
- Managing preparators during installation and delegating tasks in dialogue with the Production Lead
- Interviewing and onboarding the Exhibition Management and Production intern
- Managing the performance of the Exhibition Management and Production intern
- Working with the Operations team on building issues; flagging and monitoring issues, and looking for ways to resolve them (ex. humidity issues in galleries, security issues)
- Continuously review and enhance safety protocols and practices based on the latest industry standards
- Management member of the Joint Health and Safety Committee
Skills, Knowledge and Expertise
Must-haves
- 3-5 years experience in a museum, gallery or arts institution, within an exhibitions or production department
- 2 years minimum experience in a leadership role
- Experience working hands-on with artists and technicians
- Experience researching and procuring materials, equipment, and fabrication work
- Experience liaising with fabricators, contractors, engineers and other specialists
- Experience managing strict timelines and budgets
- Excellent communication and diplomacy skills
- Possess a thorough understanding of relevant safety protocols and demonstrate a strong commitment to maintaining a safe work environment
- Knowledge of museum environmental guidelines for transporting and presenting contemporary art produced in a range of media
- Experience working on registrar tasks for a museum or arts institution, including international art transportation and condition reporting
Nice-to-haves
- Demonstrated interest in contemporary art
- Knowledge in AV equipment and set up
- Knowledge in programmes such as Adobe, SketchUp, and/or AutoCAD
- Ability to adapt to changing situations, problem-solve and find efficient ways to realize often unusual, interdisciplinary installations
- Familiarity with the Ontario Occupational Health and Safety Act and Regulations
- Working At Heights and Elevated Platform training are preferred
