The Opportunity

Our client is seeking an experienced Executive Assistant to provide high level administrative and operational support within a wealth management practice.

This is a critical role. The successful candidate will serve as the operational backbone of the practice, managing processing, documentation, and client coordination with accuracy and confidence. The advisor’s focus is on financial planning and client relationships, and this role ensures everything behind the scenes runs seamlessly.

This is not an entry-level opportunity. We are looking for someone who understands financial services, who values detail and discretion, and who can operate independently without supervision. The right person will take ownership of their work, anticipate needs, and protect the integrity of client transactions.

Key Responsibilities

As the Executive Assistant, you will work collaboratively and are responsible for:

Financial Processing & Documentation
  • Prepare and review client forms to ensure complete accuracy prior to advisor sign-off.
  • Monitor and manage file reviews, compliance requirements, and administrative workflows.
  • Utilize financial systems and internal platforms to execute and track transactions.
  • Ensure all documentation is prepared, submitted, and reconciled without error.
Client Coordination & Communication
  • Serve as the first point of contact for client administrative inquiries.
  • Respond to technical and process-related questions within scope, escalating licensed matters appropriately.
  • Coordinate advisor meetings, travel, and scheduling with efficiency and foresight.
  • Prepare meeting documentation and ensure client files are fully organized and ready.
  • Maintain a high standard of professionalism, particularly when communicating with elderly or long-standing clients.
Operational Ownership
  • Manage daily workflow independently, identifying priorities and anticipating needs.
  • Proactively prepare materials and documentation ahead of meetings and deadlines.
  • Maintain strong organization across digital files, email correspondence, and internal systems.
  • Protect client confidentiality at all times.
  • Contribute to a steady, structured, and highly reliable office environment.
Qualifications

As the Executive Assistant, you will bring:

  • Minimum 5+ years of administrative experience within financial services, wealth management, banking, or a related environment.
  • Strong working knowledge of financial products such as RRSPs, RRIFs, TFSAs, non-registered accounts, and related documentation.
  • Experience with financial platforms and CRM systems; familiarity with investment dashboards or advisor software is considered a strong asset.
  • Advanced proficiency in Microsoft Office, particularly Excel, and strong document management skills including PDF editing and manipulation.
  • Demonstrated ability to manage compliance-sensitive documentation with accuracy.
  • Experience operating in a high-trust, client-focused environment.
