Overview

On behalf of our Banking client, Procom is searching for an Executive Assistant for a 6-month role. This position is a hybrid position with 2 days onsite at our client’s Calgary office.

Executive Assistant - Job Description

The Executive Assistant will provide comprehensive administrative and clerical support to one or more Managers and their teams within the Corporate Banking sector. The role involves managing office services, enhancing operational processes, and supporting various business functions to ensure efficient operations.

Responsibilities
  • Lead the planning, coordinating, and implementation of department events.
  • Provide senior-level administrative and operational support within a large, diverse team.
  • Employ systems to manage and integrate information for efficient processes and reporting.
  • Coordinate and monitor budgets, reporting on results vs. budget.
  • Manage and monitor calendars, dispatch meeting invitations, and arrange resources.
  • Develop and maintain a filing system for business and operational documents.
  • Support the development of communications, including writing and editing.
  • Process invoices and track departmental expenses to ensure they stay within budget.
  • Make travel arrangements and liaise with internal and external stakeholders.
  • Maintain supplies inventory and coordinate training requirements for staff.
  • Exercise judgment to solve problems within given rules.
