Reporting to the Vice President Western Region RG Operations, this position is responsible for calendar management, travel arrangements, expense reconciliation, and regular day-to-day administrative duties. The successful candidate will also provide support to the VP, directors, and other executives as required.

Ontario Power Generation (OPG) is looking for a dynamic strategic and results-driven professional to join our team in the role of Executive Administrative Assistant. This position supports the Vice President with calendar management, travel arrangements, expense reconciliation, and day-to-day administrative duties, and also provides support to the VP's directors and other executives as required.

Key Accountabilities
  • Correspondence with internal and external stakeholders regarding a variety of topics including meeting arrangements, information requests, and confidential matters.
  • Arrange meetings at an executive level, including inviting required parties, arranging meeting rooms, preparing and uploading agendas, and taking minutes when required.
  • Time management for the VP including assisting with setting priorities, e-mail review, project timelines, target completion dates, and visibility into urgent matters.
  • Book travel arrangements and ensure expenses are reconciled properly following standard procedures.
  • Act as a liaison for the VP with staff across the organization.
  • Perform other administrative duties as required to support the team.
Qualifications
  • Post-secondary diploma or degree in Business Administration, Communications, or a related field preferred.
  • Minimum 6 years of experience providing senior executive administrative support.
  • Exceptional organizational abilities with a keen eye for detail.
  • Outstanding written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Strong ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • Demonstrated discretion and the ability to handle confidential information with integrity.
  • Excellent problem-solving skills and the capacity to work autonomously.
