Job description
Location: Victoria, BC

Hours: Full-time, Monday – Friday, 9am-5pm, 35 hours/week. Please note that this position will occasionally require work during evenings and weekends to support event schedules.

Salary: $31.07 per hour (Effective March 22, 2025) – Unionized Position, CUPE Local 410, Pay Grade 6

About the Role:

The Events Coordinator plays a pivotal role in conceptualizing and executing events that bolster our Learning and Engagement and Development programs. This position requires a collaborative approach, working closely with various departments and external partners to deliver compelling and impactful events to our audiences. The ideal candidate will bring a mix of creativity, excellent project management skills, and a genuine passion for the arts.

Key Responsibilities:
  • Event Development and Production – Lead the planning, project management, and execution of signature events like the Paint-In Festival and Urbanite, in collaboration with inter-departmental teams. Manage Development events including member and donor-related gatherings, ensuring seamless collaboration with staff. Oversee all aspects of event logistics, from permits and catering to staffing and A/V troubleshooting, guaranteeing smooth operation from start to finish.
  • Grant Writing and Fundraising Support – Assist in identifying funding opportunities and drafting grant proposals to secure financial support for the gallery’s events and programs. Work collaboratively with the Development team to create compelling narratives and budgets for grant applications.
  • Other Duties – Guide the selection and management of external contractors and consultants for Gallery events. Generate communication briefs for events and programs and assist in preparation of RFPs and RFQs as needed. Supervise and schedule interns, summer students, and contractors as necessary.
  • Administration – Develop and monitor event budgets and compile event reports including evaluations to continuously enhance event delivery. Ensure effective communication within the organization and with external stakeholders.
What We’re Looking For:
  • Bachelor of Arts, project or event management, or relevant experience combined with a diploma or certificate in a related field.
  • 3-5 years’ experience in project and/or event management and delivery in the arts sector.
  • Excellent organizational skills and the ability to work cooperatively and independently in a team environment.
  • Proficiency in Microsoft Office Suite, with a preference for candidates knowledgeable in project management software and Adobe Creative Suite.
  • Strong grasp of event logistics including experience scheduling teams and working with various A/V equipment.
  • Demonstrated knowledge of and experience obtaining project and event permits including Special Occasion Licenses, Event Licenses, and Noise By-law Exemptions.
  • Excellent communication skills and the ability to engage with diverse communities.
  • Certifications such as Serving It Right, Food Safe, and First Aid, or willingness to obtain.
  • Valid driver’s license required.
