About The Role
Reporting to Quality Manager, the Document Management Specialist will be responsible for managing and implementing a robust, compliant, and scalable document management ecosystem from the ground up.
This role goes beyond document control. It requires ownership of controlled information, government-owned documentation, and CUI (Controlled Unclassified Information), while driving the full adoption of a DMS system across the organization.
This is a hands‑on, high‑visibility role for someone who enjoys structure, governance, and making complex requirements operational and user‑friendly.
Key Responsibilities
Document Management Framework & Governance
- Design, implement, and maintain a company‑wide document management structure (digital and physical)
- Define and enforce document taxonomy, naming conventions, version control, approval workflows, and retention rules
- Establish document lifecycle management processes from creation to archiving and disposal
- Ensure full traceability and integrity of technical, quality, operational, and administrative internal and customer documents
DMS Implementation & Optimization
- Lead the full implementation and adoption of the Document Management System
- Support IT to configure document structures, metadata, access rights, workflows, and user roles within the DMS
- Coordinate the migration, clean‑up, and structuring of legacy documents into the DMS
- Act as the primary point of contact for DMS‑related processes and continuous improvement
CUI & Government‑Owned Documentation
- Support the CSO in establishing and enforcing controls for CUI (Controlled Unclassified Information) and government‑owned documents
- Support the CSO and IT to ensure proper classification, handling, storage, access control, and retention of sensitive and customer‑owned documentation
- Work closely with all departments to align document practices with contractual, regulatory, and security requirements
- Support audits and customer reviews related to information security, document control, and government programs
Regulatory Compliance & Audit Readiness
- Ensure document management practices meet aerospace regulatory and quality requirements
- Maintain audit‑ready documentation at all times for internal, customer, regulatory, and certification audits
- Act as a key resource during audits, providing rapid, accurate document retrieval and explanations
Cross‑Functional Collaboration
- Partner with Operations, Quality, Engineering, Finance, HR, and IT to understand document workflows and constraints
- Translate regulatory and contractual requirements into practical, operational document processes
- Support departments in organizing, standardizing, and maintaining controlled documents
Change Management & Training
- Develop document control procedures, templates, and user guidelines
- Train employees on DMS usage, document classification, and compliance requirements
- Drive adoption by balancing governance, usability, and operational realities
Continuous Improvement & Scalability
- Monitor system performance, compliance risks, and user feedback
- Propose improvements to document workflows, automation, and data integrity
- Scale the document management framework as programs, customers, and regulatory requirements evolve
Your Ideal Background
- Diploma or degree in Information Management, Records Management, Quality, Business Administration, or a related field
- 2‑3 years of experience in document management, document control, or quality systems in a regulated environment
- Hands‑on experience implementing or optimizing a DMS (UniPoint experience would be an asset)
- Experience handling CUI, protected and classified data – government‑owned, or customer‑controlled documentation preferred
- Aerospace, defense, manufacturing, or MRO experience strongly preferred
- Strong understanding of document control principles, governance, and records retention
- Experience working with access controls, data classification, and audit requirements
- Comfortable working with ERP/DMS systems and cross‑functional digital tools
- Builder mindset with strong ownership mentality
- High attention to detail without losing the big picture
- Strong influencing and communication skills
- Ability to navigate regulated requirements pragmatically
- Continuous improvement and problem‑solving orientation
- Bilingual (French and English*).
- The position requires a very good knowledge of English, both oral and written. The position involves reading and understanding technical documents in English on a daily basis, especially from international companies, as well as regular communication with customers, suppliers and other international stakeholders.
