We are seeking a highly organized and detail-oriented Logistics Coordinator to be a critical part of our Supply Chain team. Reporting to the Manager of Supply Chain, you will be the lynchpin for all inbound and outbound logistics, ensuring the smooth, efficient, and accurate movement of materials both domestically and internationally. This role requires a blend of hands‑on warehouse execution, administrative precision, and excellent customer service.

Key Responsibilities

Shipping, Receiving, and Warehouse Operations

  • Acts as the primary Aviation Receiving Inspector, meticulously examining all incoming aircraft components and materials to confirm strict adherence to engineering specifications, quality standards, and critical regulatory mandates (e.g., FAA/EASA).

  • Documentation & Compliance: Ensures the airworthiness of materials by thoroughly verifying supporting paperwork, such as Certificates of Conformance (C of C) and FAA Form 8130‑3.

  • Logistics & Receiving Basics: Manages core receiving processes, including executing the three‑way match (Purchase Order, Receiving Report, Invoice) to ensure accurate inventory and payment processing.

  • Quality Control: Identifies, documents, and coordinates the resolution of all non‑conforming materials creating NCRs.

  • Manage End‑to‑End Shipments: Execute all daily receiving and shipping functions, including preparing, packing, and labeling outgoing products to meet customer and company standards.

  • Damage Control and Reporting: Conduct thorough visual inspections of all incoming and outgoing shipments, promptly reporting and documenting (with photos) any visible damage or defects.

  • Inventory Accuracy: Maintain computerized inventory records, perform periodic physical counts, and assist in resolving inventory discrepancies to ensure data integrity within the inventory management system.

  • Material Handling: Safely operate equipment such as forklifts, overhead cranes, and hand trucks to move and store items according to established procedures.

  • Maintain an Organized Facility: Ensure a clean, organized, and safe working environment in the warehouse, designated yard, and finished goods areas, adhering to all safety requirements.

Domestic and International Logistics
  • Coordinate Freight: Orchestrate all aspects of domestic and international shipments, including scheduling with carriers and managing the movement of goods.

  • Customs and Compliance: Prepare, complete, and distribute all required paperwork for each load. Coordinate essential customs and export documentation with carriers, customs brokers, and relevant government agencies to ensure full compliance.

  • Track and Communicate: Proactively track and trace shipments, communicating status updates and potential delays to internal departments and external customers.

  • Documentation Management: Maintain comprehensive and accurate records of all logistics transactions and related documentation.

Collaboration and Safety
  • Internal/External Support: Provide professional and timely customer service to internal and external clients. Collaborate with internal departments, approved suppliers, and third‑party representatives to optimize logistics flow.

  • Equipment Maintenance: Monitor and ensure material handling equipment and work areas are in safe operating condition by tracking repair status and scheduling necessary maintenance.

  • Safety First: Observe all applicable safety requirements, immediately reporting any unsafe practices or conditions, and ensuring all operations procedures are followed effectively.

Minimum Qualifications
  • Education: High school diploma or equivalent.

  • Experience: Minimum of 7+ years of hands‑on experience in one or more of the following fields: warehousing, inventory/materials management, purchasing, cargo, transportation, or supply chain logistics.

  • Mandatory: Direct, recent experience in Aviation/Aerospace Logistics environment is required

  • This position demands exceptional attention to detail and strong technical proficiency in aviation standards.

  • Technical Skills: Proven experience operating forklifts, hand trucks, and other powered and non‑powered lifting devices.

  • Logistics Knowledge: Working knowledge of international and domestic freight systems and requirements, as well as export compliance regulations.

  • Compliance: Must be CAC eligible and/or able to obtain a Common Access Card (CAC).

  • Physical: Must be willing and able to safely lift and move items up to 40 pounds. Valid Driver’s License.

Preferred Qualifications
  • Certification: Licensed customs broker or specialized training (e.g., CITT, CITL, IATA).

  • System Experience: Experience with government property records systems (e.g., CAV‑AF, WEBVLIPS, JDRS, Web‑based SDR system, PUPLOG, FEDLOG).

Skills and Competencies
  • Attention to Detail: Exceptional precision in documentation, counting, and quality inspection.

  • Organizational Mastery: Strong ability to multi‑task, manage competing priorities, and maintain highly organized records and work areas.

  • Technology & Systems: Intermediate proficiency in Microsoft Office Suite (especially Excel and Word). Ability to effectively navigate and utilize an inventory management system to retrieve accurate data.

  • Communication: Strong verbal and written communication skills for interacting with carriers, customs brokers, internal teams, and clients.

  • Team Player: Proven ability to work collaboratively in a fast‑paced team environment.

Working Conditions

This role primarily operates in a warehouse and outdoor storage environment where varying temperatures may occur. Use of Personal Protective Equipment (PPE) is required.
