Overview

Are you a highly organized, service-oriented professional fluent in English and French? We are seeking a Bilingual Front Office Administrator to support our team on both a temporary and as-needed basis. This role is ideal for someone with a flexible schedule who thrives in a fast-paced, professional environment and enjoys providing exceptional front-line support.

  • Location: Toronto, ON (downtown)
  • Pay Rate: $25 / hour plus 4% vacation pay on top of this - paid weekly
  • Employment Type: Temporary and as-needed
Key Responsibilities
  • Greet and respond to in-person, phone, and written inquiries in English or French with professionalism and discretion
  • Coordinate incoming / outgoing mail and courier packages
  • Sign for deliveries and manage access cards
  • Liaise with building management for maintenance and operational needs
  • Monitor and replenish office, pantry, and printer supplies
  • Schedule regular maintenance for HVAC, fire extinguishers, coffee machine, and water cooler
  • Ensure cleanliness and upkeep of common areas, kitchen, and meeting rooms
  • Assist with document preparation, presentations, photocopying, scanning, and binding
  • Maintain electronic and paper filing systems
  • Coordinate with IT support to resolve technical issues
  • Support onboarding / offboarding processes including ordering hardware and access cards
Ideal Candidate Profile
  • Fluently bilingual in English and French (oral and written)
  • College diploma or equivalent with relevant work experience
  • Minimum 3 years' experience in front-line reception and with executive / administrative support
  • Experience in financial services or public sector is an asset
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Demonstrates excellent judgment, discretion, and organizational skills
  • Strong communication skills and client service orientation
  • Flexible, proactive, and adaptable to change
  • High level of tact and professionalism in handling confidential information
