Position Type: Full-Time Support

Salary Range: $32.10-$37.04 per hour

Scheduled Weekly Hours: 36.25

Anticipated Start Date: January 5, 2026

Length of Contract: 4 Months

Job Description

As a member of the team, the Administrative Assistant is responsible for providing a wide variety of confidential administrative support services supporting the academic and operational needs of the School of Wellness Public Safety and Community Studies. This will require the incumbent to perform administrative liaison, analytical, and representational functions on behalf of and in support of the Dean and the management.

The incumbent will initiate, advise, anticipate and monitor activity and provide accurate information related to the functions of the Dean’s Office, including human resources and financial planning, student issues and related administrative addition the incumbent will establish and maintain information tracking systems plus manual and electronic schedules and filing systems and manage the coordination and logistical support for meetings, travel, staff, and professional development.

As the initial point of contact for the School of Wellness Public Safety and Community Studies, the incumbent must have comprehensive knowledge of School programs, services, policies and procedures. The incumbent must possess above-average conflict resolution and problem‑solving skills. The incumbent is a member of the Dean’s Management Team, managing logistics, preparing agendas, taking notes and following up on action items from previous meetings and planning sessions.

Required Qualifications
  • Minimum two (2) year diploma (or equivalent) in Office Administration, Office Administration – Executive Business or related;
  • Minimum five (5) years of relevant administrative assistant experience providing administrative support in an executive office environment with progressive responsibility preferably in an academic setting with demonstrated capability to deal with confidential finance and human resource issues;
  • Experience in writing correspondence as well as developing varied documents and reports;
  • Experience managing simultaneous deadlines with minimal supervision;
  • Experience working independently in progressively responsible positions;
  • Excellent interpersonal skills;
  • Strong analytical and problem‑solving skills;
  • Well‑developed verbal and writing skills to effectively communicate with stakeholders;
  • Highly developed minute‑taking, writing and publishing skills with attention to detail;
  • Very effective organization and time management skills; ability to multi‑task and prioritize;
  • Good knowledge of academic administrative and organizational structures including varied decision‑making processes;
  • Proven team player;
  • Advanced proficiency with MS Office, SharePoint and other digital collaboration tools. Knowledge of social networking applications is an asset.
