This role requires a resourceful and organized individual who can manage multiple priorities, maintain confidentiality, and support cross-functional teams to ensure smooth and efficient office operations. The successful candidate will have a solid foundation in handling administrative duties with accuracy and efficiency, with strengths in finance coordination and internal and external communications. You will bring strong organizational skills, reliability, and a collaborative approach to the team and will support day-to-day administrative tasks while assisting with basic financial processes such as tracking expenses and processing invoices. With clear communication skills and attention to detail, you will help keep office operations running smoothly, contributing to a more efficient and connected workplace.

Responsibilities
  • Administrative Support: Provide day-to-day administrative support to departmental staff and leadership. Schedule meetings, prepare agendas, take minutes, and follow up on action items. Manage calendars, travel arrangements, and expense reports. Assist with planning team building and other social gatherings. Maintain office files, records, and documentation with accuracy and confidentiality.
Finance Coordination
  • Assist with basic financial processes such as tracking expenses, processing invoices, and coordinating with the finance team to ensure timely reporting and documentation. Track budgets, expense reporting, and invoice processing. Coordinate with the finance team for procurement, vendor payments, and reconciliation.
Communications
  • Draft, proofread, and distribute internal communications, reports, memos, and newsletters. Coordinate with marketing or communications to support internal and external messaging and branding. Assist with the management of social media and communication platforms. Serve as a point of contact for internal staff, clients, and vendors, ensuring professional and timely responses.
Qualifications

Education and Experience

  • Post secondary education with 5+ years experience in an administrative role. Finance or communications support experience is an asset.

Technical Skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with financial systems, social media and communications tools.

Soft Skills

  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Superior interpersonal skills.
