Administrative assistant

As an administrative assistant, you will play a key role in planning, managing schedules, and providing essential administrative support to the senior director.

What You Will Accomplish With Us
  • Provide administrative support to the Senior Director, including calendar management, proactive email handling, and planning and booking business travel.
  • Coordinate events and meetings (committees, workshops, team gatherings), including room reservations and all related logistics.
  • Prepare expense reports for the management team, ensuring compliance with company policies.
  • Draft, review, and proofread various administrative documents.
  • Actively participate in the onboarding process for new employees and serve as the primary point of contact for administrative and operational inquiries within the team.
  • Track consultants’ working hours, manage financial provisions, and process invoice payments for the department.
  • Identify areas for improvement and implement optimizations in administrative processes.

  • Possesses a minimum of 5 years of relevant experience in a similar role
  • Recognized for strong attention to detail and resourcefulness
  • Distinguished by initiative, collaborative mindset, and ability to serve as a liaison within the team
  • Known for advanced knowledge of the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Demonstrates a solution-oriented approach and a commitment to delivering excellent service to stakeholders
  • Intermediate level of English proficiency, as the role requires communicating via email with various suppliers and external partners, reading and drafting documents in English, and frequent interactions with English-speaking colleagues and internal partners across Canada on a daily basis
