Administrative Assistant
How does the role impact the organization?

Drawing on industry experience in a financial services firm or previous experience in an administrative role, you will be responsible for providing administrative support to the Financial Advisor team and outstanding service to clients. The right candidate is self‑motivated with exceptional administrative skills, has a dependable nature and brings an ability to work within deadlines both independently and as part of a team. This position will support a dynamic team who is looking for a self‑starter who is able to connect with others, has a proactive approach to problem solving and enjoys working in a fast‑paced environment.

What is the position responsible for?
  • Handle all incoming and outgoing phone calls;
  • Manage and maintain all paperwork;
  • Prepare professional correspondence and reports, documents, and files;
  • Respond to requests for information in a timely manner;
  • Service clients’ general day‑to‑day requests;
  • Communicate internally with various operational and administrative departments;
  • Maintain the Customer Relationship Management (CRM) software;
  • Manage our WOW service client program;
  • Initiate and manage a proactive social media campaign; and
  • Manage website & membership

  • Knowledge of MS Office (Word, Excel, PowerPoint, and Outlook), Internet Explorer and business related software;
  • Previous experience with use of Social Media (Facebook, LinkedIn, Twitter, Instagram & YouTube);
  • Organizational and problem solving skills;
  • The ability to learn independently;
  • A proactive self‑starter with a ‘can do’ attitude and the desire to take ownership of their position;
  • Pay meticulous attention to detail;
  • Prioritize and manage multiple deadlines and tasks;
  • Work in a team environment and demonstrate a professional and friendly manner; and
  • Professional fluency in English and French is an asset.
Education And Experience
  • Minimum 2 years of administrative experience; and
  • Post‑secondary education.
Licenses and Certifications
  • Completion of the Canadian Securities Course (CSC) is an asset.
