Job summary

Lumos in Bahrain is seeking an Executive Assistant who is highly organized, proactive, and discreet to support the Managing Director with calendar management, travel arrangements, and cross‑functional coordination. The role requires excellent English communication, strong MS Office skills, and the ability to handle confidential information and multiple priorities in a fast‑paced environment.

  • Bachelor's degree in Business Administration or related field is preferred.
  • Minimum five years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role.

Responsibilities

  • Manage and coordinate the Managing Director’s calendar, appointments, meetings, and daily priorities.
  • Prepare meeting schedules, agendas, presentations, reports, and other required documents.
  • Coordinate communication between the Managing Director and internal teams, clients, and external stakeholders.
  • Maintain follow-up on assigned tasks, action points, and ongoing activities to ensure timely completion.
  • Assist in coordinating projects and business initiatives across different departments.
  • Conduct research, collect relevant information, and prepare summaries as required.
  • Handle confidential documents, correspondence, and business information with professionalism.
  • Organize travel arrangements, meetings, and executive requirements.
  • Maintain proper filing systems and ensure important information is easily accessible.
  • Support the Managing Director with administrative coordination and business-related activities.

About the Role

Key Responsibilities

Requirements
  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Minimum five (5) years of experience as an Executive Assistant, Senior Administrative Assistant, Executive Coordinator, or similar role.
  • Experience supporting senior executives, Managing Directors, or business owners (preferred).
  • Excellent command of English, written and verbal.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time‑management skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Strong problem‑solving skills and ability to work independently.
