Responsibilities
- You greet clients, guests, and office personnel with a welcoming demeanor;
- You answer phone calls politely and professionally, ensuring messages are promptly relayed to the appropriate attorneys or staff, while handling basic inquiries effectively;
- You set up and take down conference rooms for meetings, arrange meal orders and other necessary supplies;
- You offer support in coordinating IT and audiovisual requirements for meetings as needed;
- You prepare and dismantle weekly office lunches, along with assisting with various office events;
- You assign visitor offices for employees coming to the Brussels office and issue temporary badges to firm employees, keeping a log of these badges;
- You assist in processing expense reports and invoices;
- You sort and document unidentified mail, ensuring the proper identification of the recipients;
- You receive deliveries and send out international packages;
- You carry out administrative duties for the Office Manager, including coordinating requests for building services when necessary (such as HVAC, lighting, and cleaning services);
- You provide additional support to the Attorney Resource Center (ARC) team in the Brussels office as needed;
- You maintain a neat and professional appearance of the reception and seating area, organizing newspapers and periodicals;
- You undertake other responsibilities as assigned.
Qualifications
- Possesses an outstanding command of both written and spoken English, along with fluency in French and/or Dutch;
- Holds a high school diploma or has gained equivalent experience;
- Has previous exposure to a law firm or a professional services setting, which is considered a plus;
- Demonstrates a capacity for independent work and initiative;
- Exhibits strong general clerical skills and competencies;
- Is adept at operating common office machinery and equipment;
- Has the ability to effectively plan and organize their workload;
- Can manage and juggle multiple tasks concurrently with ease;
- Is skilled in prioritizing tasks and managing time efficiently;
- Shows familiarity with standard office practices and thrives in a collaborative team atmosphere;
- Boasts excellent organizational and communication abilities, both verbal and written;
- Provides outstanding client service, catering effectively to both internal and external stakeholders;
- Is open to working additional hours as required by responsibilities.
