For our client, an international company specialized in corporate real estate management and related services, we are currently looking for a Facility Management Assistant who can coordinate the administrative and operational aspects of managing an office building located in Brussels.
Job Description:
In this role, you will be responsible for:
Administrative and Operational Management
- Monitoring intervention requests and service tickets through internal systems.
- Ensuring the resolution of incidents and issues reported by building occupants.
- Guaranteeing compliance with internal procedures, quality standards, and regulatory requirements.
- Assisting in the coordination of activities related to security, prevention, and business continuity.
Supplier and Service Provider Coordination
- Acting as the main point of contact between occupants, suppliers, and external partners.
- Monitoring service delivery and assessing the quality of services provided.
- Collaborating with suppliers to ensure compliance with contractual commitments.
- Contributing to the search for solutions aimed at improving services and controlling costs.
Financial Follow-up
- Reviewing and monitoring invoices, purchase orders, and administrative files related to service providers.
- Supporting budget follow-up and identifying cost-saving opportunities.
- Processing and tracking financial data related to Facility Management activities.
Customer Relations and Internal Support
- Delivering a high-quality service to employees and visitors.
- Responding to requests and directing stakeholders to the appropriate solutions.
- Maintaining smooth communication with the various internal and external stakeholders.
Candidate Profile:
Do you have the following knowledge, skills, and qualities? Then you may be the person we are looking for!
- Excellent command of French and English. Knowledge of Dutch is a strong asset.
- Higher education degree in administration, facility management, business management, real estate, or an equivalent field.
- Initial experience in Facility Management, property management, office management, or a similar administrative role.
- Strong organizational skills and the ability to manage multiple files simultaneously.
- Comfortable interacting with suppliers and internal clients.
- Good understanding of financial and administrative processes.
- Proficiency in standard IT tools and the ability to work with management software.
- Solution-oriented mindset, strong customer service attitude, and excellent communication skills.
- Ability to work independently while collaborating effectively with different teams.
