Job summary

Marketplace integrations is seeking a Front Office Employee to be the welcoming face of our Vienna office. You will manage front desk operations and serve as the primary contact for visitors and calls, ensuring a smooth daily routine and high-quality customer service.

This role requires strong communication skills in German and English, excellent organization, and the ability to multitask in a dynamic hospitality environment.

Qualifications

• Proven experience as a Front Office Representative, Receptionist, or a similar customer-facing administrative role.
• Excellent verbal and written communication skills in German and English.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., multi-line phone systems, printers).
• Strong ability to multitask, prioritize tasks effectively, and maintain a calm demeanor during busy hours.
• A positive, problem-solving attitude with a strong sense of discretion and professionalism.

Responsibilities

• First Class Hospitality: Greet and welcome visitors, clients, and candidates with warmth and professionalism, ensuring they are directed to the right person or meeting room.
• Communication Hub: Answer, screen, and forward incoming phone calls, and handle the general company email inbox.
• Logistics & Mail: Sort and distribute daily mail, deliveries, and couriers; prepare outgoing shipments and coordinate office supplies inventory.
• Administrative Support: Assist various departments (such as HR or Finance) with light administrative tasks, data entry, scheduling meeting rooms, and organizing company events.
• Security & Access: Monitor visitor logs and issue visitor badges to maintain a secure office environment.
