Job Description - Site Administrator (250001EK)

The Project Site Administrator is responsible for providing comprehensive administrative and clerical support to ensure the efficient operation of the project site. The role ensures smooth coordination between site teams, head office departments, subcontractors, suppliers, and clients, while maintaining accurate records, compliance with company policies, and adherence to project timelines.

Key Accountabilities
  • Manage and maintain all site-related documentation, correspondence, and records (soft and hard copies).
  • Maintain an organized filing system for project documents, ensuring easy retrieval and compliance with audit requirements.
  • Track and update project registers (e.g., material delivery logs, equipment registers, timesheets).
  • Act as the main administrative point of contact at the site for internal and external stakeholders.
  • Coordinate with procurement, HR, finance, and other departments for site needs.
  • Support site induction processes for new employees and subcontractors.
  • Arrange and coordinate site meetings, including preparing agendas, recording minutes, and following up on action points.
  • Maintain daily manpower attendance records for staff and workers.
  • Submit attendance, overtime, and leave reports to the HR/Payroll team as per deadlines.
  • Assist in mobilization and demobilization processes of site personnel.
  • Assist in raising purchase requisitions and tracking material/equipment deliveries.
  • Maintain records of received and issued materials in coordination with the storekeeper.
Qualifications

Years of experience: Minimum 3 years in a similar role, preferably 3–5 years.

Academic Qualifications: Bachelor’s degree in Business Administration, Management, or a related field.

Language proficiency: English – Arabic.

Computer skills: Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and document management systems.
