Job Purpose
The Receptionist serves as the first point of contact for customers, guests, suppliers, and potential clients, setting the tone for their experience with Wasl. This role requires a consistently professional, calm, courteous demeanor and a positive attitude. A successful receptionist will demonstrate attentiveness, confidentiality, and discretion, and exhibit dependability, initiative, and loyalty to maintain the high standards of Wasl.
Key Responsibilities and Performance Standards
1. Reception and Customer Service
- Create a warm, welcoming, and friendly environment.
- Meet and greet customers, guests, suppliers, and potential clients in a courteous, professional manner.
- Direct or escort visitors to the relevant employee or department, as needed.
- Host visitors while they wait and offer necessary assistance or amenities.
- Receive 95% positive feedback on visitor interactions based on feedback forms & surveys.
2. Telephone Management
- Answer and manage incoming calls with professionalism, directing calls to the appropriate departments or individuals.
- Calls answered within three rings and directed accurately.
3. Inventory and Supplies Management
- Act as the point of contact for replenishing pantry items, office stationery, and subscriptions.
- Ensure all necessary supplies are stocked, organized, and in good condition.
- Conduct monthly inventory reviews to avoid shortages of pantry, stationery and other essential supplies.
4. Administrative Support
- Schedule appointments and manage correspondence as required.
- Respond to staff and visitor inquiries promptly and effectively.
- 100% accuracy and timeliness in scheduling and correspondence.
5. Office Maintenance Coordination
- Coordinate the repair and maintenance of office equipment with relevant vendors.
- Report any malfunctions or required repairs immediately and track their resolution.
- Resolve all equipment-related issues within 48 hours.
6. Reception Area Upkeep
- Maintain a tidy, welcoming, and professional look in the reception area and building entrances.
- Ensure the ambiance and appearance reflect the company's standards and values.
- Always maintain a clean and welcoming reception area by conducting daily checks and spot audits.
7. Other Tasks
- Perform any additional responsibilities associated with this job request or work assignment as assigned by the Line Manager.
- Task completed as requested.

Internal: All Departments in Wasl including Hospitality & Subsidiaries
Selection Criteria
Qualifications & Knowledge
- Diploma in a relevant field required; a bachelor’s degree is preferred but not mandatory.
Experience
- Minimum 2 years’ experience in a similar administrative role preferably in the hospitality industry.
Position-Specific Skills (Technical Competencies)
- Strong proficiency in both Arabic and English.
- Familiarity with local regulations and customs.
- Professional demeanor, customer-oriented approach, and strong communication skills.
- Strong customer care, behavior interaction, and concierge skills.
- Experience with VIP interactions is a plus.
- Exceptional attention to detail.
