Role Overview

The Operations Coordinator provides comprehensive operational, administrative, and coordination support to the Editor-in-Chief, ensuring the smooth execution of editorial, administrative, and logistical activities across Abu Dhabi and Cairo offices. The role acts as a central coordination point between internal teams, external stakeholders, and support functions, enabling operational efficiency, effective collaboration, and strong institutional performance in support of Al Ain News’ objectives.

Key Responsibilities
Executive & Editorial Support
  • Manage the Editor-in-Chief’s business agenda, coordinate meetings, and execute all related follow-up actions.
  • Prepare, record, and document minutes of meetings for the Editor-in-Chief and monitor the implementation of decisions.
  • Participate in the formation and operation of editorial and administrative committees and ensure timely execution of assigned actions.
Coordination & Internal Liaison
  • Coordinate with all departments and business units across the group.
  • Act as the primary point of contact between internal teams and HR, Finance, Procurement, and Shared Services functions.
  • Supervise and follow up on annual objectives and performance of all teams administratively reporting to the Abu Dhabi and Cairo offices (Arabic and other language platforms).
Public Relations & External Affairs
  • Serve as the official media interface and representative of Al Ain News with governmental and non-governmental entities in Abu Dhabi, as directed by the Editor-in-Chief.
  • Build and maintain strong relationships with media institutions, influencers, and external partners locally and internationally.
  • Monitor Al Ain News’ public reputation through public perception, behavior, and feedback, and report insights accordingly.
  • Exchange and promote news content with influencers and media partners to enhance brand visibility.
Logistics, Events & Operations
  • Manage and coordinate all logistical arrangements (internal and external), including travel, accommodation, and editorial coverage, in coordination with relevant managers.
  • Handle registrations for conferences, forums, and events.
  • Prepare and manage files related to competitions and awards, including submissions and follow-ups.
  • Maintain and regularly update a comprehensive record of awards, recognitions, and honors.
  • Participate in developing the annual calendar of major events and ensure approved coverage plans are executed.
Administration & Office Management
  • Oversee administrative activities for the Abu Dhabi and Cairo offices.
  • Manage subscriptions to agencies, websites, newspapers, and magazines, including coordinating with relevant managers to add, remove, or modify user access and permissions.
  • Contribute to the development, circulation, and implementation of administrative, organizational, and editorial policies and procedures for the Abu Dhabi office.
Training & Talent Development
  • Develop and oversee staff training and development programs and monitor their implementation.
  • Design and manage internship programs for university students and act as the direct administrative supervisor throughout the training period.
  • Participate in identifying workforce needs, including human resources, technical, and operational requirements for Abu Dhabi and Cairo offices.
Employee Engagement & Wellbeing
  • Manage the employee happiness and engagement portfolio, including recognizing personal occasions and proposing initiatives to motivate employees and foster a positive work environment.
General Responsibilities
  • Ensure full compliance with assigned duties within the scope of the job description, within required timelines, and to the highest quality standards.
  • Perform any additional tasks assigned by the Editor-in-Chief in line with the role and organizational needs.
Role requirements
  • Proven experience coordinating administrative and operational functions within a media or newsroom environment, with a solid understanding of editorial workflows and cross-department collaboration.
  • Strong organizational, planning, and follow-up skills, with the ability to manage multiple priorities effectively.
  • Excellent communication and stakeholder management skills, including engagement with external media and institutional partners.
  • High attention to detail, confidentiality, and execution discipline, with a proactive, solution-oriented mindset focused on continuous improvement.
  • 5–7 years of relevant experience in operations, administration, or coordination roles within media or digital publishing; Bachelor’s degree in Business Administration, Media Management, Operations, or a related field preferred.
