Job summary

A logistics company in the United Arab Emirates is seeking a Logistics Supervisor to manage the duty schedule for its fleet and drivers. This role involves monitoring compliance with quality standards, coordinating dispatch and offloading, and ensuring vehicle maintenance and safety compliance. Candidates should be organized with strong communication skills and the ability to produce reports on fleet performance. This position supports smooth logistics operations within the organization.

Responsibilities

  • Prepare duty schedule for the logistics fleet and drivers.
  • Share the duty schedule with CK & Warehouse team for alignment.
  • Monitor fleet drivers' time and vehicle inspections.
  • Ensure enough parking space for trucks/vans.
  • Monitor loading & dispatching for compliance with quality standards.
  • Coordinate with dispatch teams on transport schedules.
  • Ensure load lists match physical quantities loaded.
  • Verify transfer lists for discrepancies.
  • Check loading area for safety hazards.
  • Monitor truck GPS and temperature during transit.
  • Ensure regular maintenance and cleaning of trucks.
  • Update drivers on their daily schedule and changes.
  • Coordinate offloading with receiving sites and report issues.
  • Ensure proper truck cleaning and sanitization at return.
  • Collect invoices from transport providers for payment.
  • Record fines & penalties and report to line manager.
  • Ensure compliance with health & safety standards.
  • Maintain transport documents and records.
  • Prepare reports on fleet performance and cost-saving initiatives.
  • Collaborate with other departments for logistics requests.
Job description
Responsibilities
  1. Prepare duty schedule for the logistics fleet (Trucks & Vans) and drivers.
  2. Share the prepared duty schedule with CK & Warehouse team to ensure the team is aligned with the prepared duty schedule.
  3. Ensuring the fleet drivers arriving for work on time and they carry out of vehicle inspection check list
  4. Ensuring enough space to park the trucks/vans in front of CK & CS without hindering the regular dispatch operation
  5. Monitoring the loading & dispatching and ensure the compliance as per INDPT QC standard
  6. Coordinating with CK & CS dispatch team to ensure the loading is done as per the prepared transport schedule
  7. Ensure the load list or transfer list are matching to the physical quantity loaded in the truck and monitor that drivers capture the same data
  8. Once the transfer list is verified by dispatch supervisor from CK & CS, checking the same and ensure there are no variance in loading
  9. Ensure there are no damage at loading area which pose a threat to the vehicle, loading/unloading team, driver and assets of the company
  10. Check the GPS tracker and monitor the movement and temperature of the truck and ensure no exceeded waiting time at any place as well as no temperature fluctuations
  11. Ensure the maintenance and cleaning of each trucks are happening at regular interval
  12. Ensure that drivers update the check list and follow the safety compliance of INDPT standard
  13. Brief the drivers about their daily schedule daily and communicate if any last minute changes in route planning
  14. Coordinate with the drivers to get the offloading done with receiving sites If any challenges which beyond the control of logistics supervisor, report and communicate with line manager
  15. Once the vehicles are back to station (CK/CS/Warehouse), make sure the drivers are parking the trucks for cleaning and sanitization
  16. Ensure the stewards are cleaning the truck properly inside of the chiller unit as per INDPT QC standard
  17. Get the invoices and bills from the transport providers and issue corresponding LPO on time and follow up with finance for timely payment to ensure the continuity of service
  18. Any fines & penalties due to any reason must be recorded and report to line manager to take corrective action to settle the fines/penalties as per the company policy
  19. Ensure to adhere the health & safety compliance of INDPT standard
  20. Maintain records of all transport related documents such as, vehicle registration, drivers licenses, chiller calibration certificates, maintenance records, route plans, driver schedule, fuel, Salik, washing and servicing bills, accident reports etc
  21. Prepare weekly/monthly reports of fleet performance, cost savings initiative, routing and performance optimization
  22. Work with all other department of INDPT to fulfil the logistics requests for store opening, store closing, internal and external asset transfers from outlets to warehouse and vice versa.
