Overview

Role : Executive Secretary to the CTO

Location: Dubai

Industry Preference: Banking sector experience is mandatory

Responsibilities

Executive Support

  • Manage the CTO’s daily calendar, appointments, and scheduling.
  • Organize meetings, conferences, and internal/external engagements.
  • Prepare agendas, minutes, and follow-up action plans.

Administrative Duties

  • Draft, review, and manage correspondence, emails, memos, reports, and presentations.
  • Maintain and organize confidential documents, files, and records.
  • Coordinate travel arrangements, including itineraries, bookings, and logistics.

Office Coordination

  • Liaise with department heads, vendors, partners, and other stakeholders on behalf of the CTO.
  • Ensure smooth communication flow between the CTO’s office and various teams.
  • Provide support in coordinating technology projects and departmental initiatives when required.

Operational Efficiency

  • Track deadlines, submissions, and project progress for the CTO.
  • Assist with documentation, procurement processing, and compliance-related tasks.
  • Handle sensitive information with discretion and confidentiality.
Qualifications
  • Minimum 7 years of experience as an Executive Secretary, Personal Assistant, or similar role.
  • Mandatory: Experience in the banking or financial services sector.
  • Excellent command of English (written & verbal). Additional languages are a plus.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills with the ability to multitask and prioritize.
  • Professional demeanor, integrity, and strong interpersonal skills.
  • Ability to work under pressure and maintain confidentiality.
  • Currently based in Dubai or willing to relocate immediately.
