Job description

Job Title: Executive Assistant

Location: Dubai, UAE

Reporting: C-suite Level Executive

Experience: 08-12 years

Budget: 8,000 - 10,000 AED

Key Responsibilities:
  1. CEO Support: Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics.
  2. Team Coordination: Facilitate communication with the internal teams, coordinate Executive Team meetings and conferences, and serve as a liaison between the CEO and staff.
  3. Office Management: Oversee office services, manage vendors and supplies, ensure efficient IT systems operation, and supervise IT consultants.
  4. Event & Guest Management: Provide event support, hospitality, and create a welcoming environment for guests.
  5. Administrative Duties: Manage inquiries, process daily mail, handle petty cash, and reimbursements.
  6. Relationship Building: Build and maintain long-lasting internal and external relationships.
  7. Assisting with Presentation Preparation: Assist in preparing presentations as needed.
  8. Additional Tasks: Manage other projects and duties as needed to support the organization's success.
Qualifications & Skills:
  1. 8 - 10 years of experience as a proven Executive Assistant, Personal Assistant, or in a similar role supporting senior-level executives.
  2. Strong written and verbal communication skills with a professional demeanor.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  4. Excellent communication, presentation, and report-writing skills.
  5. High level of discretion and confidentiality when handling sensitive information.
  6. Experience in overseeing budgets and expenses.
  7. Experience in developing internal processes and filing systems.
