A prominent real estate company in the UAE seeks a Document Controller to manage the flow of both electronic and hardcopy documents through all project phases. The role involves ensuring compliance with established document control procedures, conducting quality checks, and generating periodic status reports. Ideal candidates should possess excellent communication skills and a high level of organization to manage documentation efficiently under pressure.
Job role functions: Follow established document control procedures. Management of electronic and hardcopy documents until handover of information on project close-out, cancellation and suspension. Operate and administer the Document Management System (DMS/EDMS)—e.g., PMWeb, SharePoint—configuring metadata, permissions, and workflows. Receiving and acknowledgement of documents from internal or external source by date stamping the hardcopy upon receipt and checks on electronic submission through the company’s EDMS. Quality check of received documentation, document number, revision and mandatory Metadata information. Distribution of electronic files for all internal recipients and transmission in accordance with distribution matrix or as directed. Preparation, checking, validation of documentation for archiving and handover during Project Close-out. Conduct regular audits to ensure documentation completeness, compliance, and quality. Generate periodic status reports (registers, dashboards) and support document-related handover processes. Ensure documents are shared at key times to facilitate timely project completion. Coordinate with relevant stakeholders to manage the flow of documents in and out of the department.
