Overview
Wood is recruiting for a Document Controller – Short Term – 6 months to join our team in Basra, Iraq on a rotational basis (6 weeks on, 2 weeks off for expats / 14 days on/off for Iraq nationals). Responsibilities
- Register and transmit internal, vendor and client documentation for the project.
- Check documentation to ensure that formats comply with company and client standards.
- Archive project and corporate records, identifying, indexing, transferring, storing, protecting, retrieving, retaining and disposing of the records.
- Ensure all project documentation is imported into the document management system and filed accordingly.
- Transmit all documentation to the client as per client requirements and in an expedient manner.
- Assist personnel with document management system queries.
- Perform quality checks of all documentation prior to issuing/transmitting to client.
- Handle requests for new document numbers/hard copy documentation.
- Scan, print and copy project documentation.
- Process and record all technical documentation accurately according to agreed procedures.
- Maintain hard copy and electronic record files to comply with QA requirements.
- Run document control reports as available.
- Ensure document management procedures satisfy project, client and regulatory requirements.
- Handle all aspects of project documentation using EDMS practices.
- Monitor progress of in‑house and client reviews of technical data.
- Contribute to compilation of final project dossiers, built portfolios and archiving.
- Establish a systematic and comprehensive project filing system.
- Produce exception reports, overdue comment reports and any other reports for project management review.
Qualifications
- Knowledge of MS Office.
- Knowledge of SharePoint/Documentum/ProjectWise or similar electronic document management system.
- Knowledge of Adobe.
- Strong written and verbal communication skills.
- Skills in word processing, spreadsheets, database applications and electronic data management systems.
- Excellent organisational skills and a logical and ordered approach.
- Effective communication and interpersonal skills.
- Strong team player.
- Ability to work in a high‑pressure environment, paying strict attention to detail and ensuring output accuracy.
