We are currently seeking a detail-oriented and IT-savvy Administrative Assistant to join our Inventory Department.
Job Overview
We are looking for an organized Administrative Assistant to manage our CRM data and support the inventory team. The ideal candidate is comfortable using digital tools to ensure property listings are accurate, up-to-date, and visually appealing. You will handle CRM data entry, monitor property portals, and utilize your IT skills to assist with inventory reports and basic marketing materials.
Key Responsibilities
CRM & Inventory Administration
- Data Management: Serve as the primary support for CRM data entry, ensuring all property details (price, size, location) are recorded accurately.
- Portal Management: Regularly check property listings on portals (Property Finder, Bayut, Dubizzle) to ensure high quality scores and proper formatting.
- Verification: Assist in verifying property availability by calling landlords or developers and updating the system status accordingly.
- Maintain an organized digital filing system for property documents (Title Deeds, Passports, Form A/B).
IT & Digital Support
- Creative Tasks: Utilize Canva to watermark images, create simple "Just Listed" flyers, or edit property photos for better presentation.
- Reporting: Manage data tasks using Microsoft Excel (creating inventory stock sheets, pivot tables for availability reports).
- Troubleshooting: Assist agents with basic CRM usage questions and ensure photos/videos are uploaded correctly to the system.
Operational Support
- Assist in preparing Forms, MOUs, and listing agreements, ensuring inventory details match the CRM records.
- Coordinate with the marketing team to ensure "Featured Properties" are highlighted on the website and portals.
- Ensure the inventory database is kept tidy and professional, removing duplicate or expired listings.
Requirements
Experience
- Total Experience: Minimum of 2 years in an Administrative, Data Entry, or Coordinator role.
- Industry Experience: Experience working with Real Estate CRMs (e.g., Salesforce, Masterkey, PropSpace) is highly preferred.
Skills & Competencies
- IT Savvy: High proficiency in Microsoft Office Suite (Excel, Word, Outlook) is mandatory.
- CRM Proficiency: Ability to learn and navigate database software quickly.
- Creative Tools: Working knowledge of Canva or basic photo editing software for property images.
- Organizational Skills: Exceptional attention to detail, accuracy in data entry is critical for this role.
- Communication: Strong verbal and written communication skills in English.
