Job Summary

We are seeking a detail-oriented and proactive Admin & Procurement Manager to manage aspects of office admin procurement and corporate merchandise functions. This individual will be responsible for ensuring a smooth, compliant and efficient flow of sourcing functions and merchandise management; through managing vendor relationships, coordinating facilities, and handling procurement processes end-to-end. The ideal candidate will have excellent organizational skills, strong negotiation capabilities, and a solutions-focused mindset.

Key Responsibilities

Vendor Negotiations & Contracts:

  • Identify, evaluate, and select vendors and conduct sourcing of merchandise. Build and maintain relationships with key vendors and suppliers.
  • Negotiate contracts, pricing, service-level agreements and favourable terms to achieve cost savings and quality deliverables.
  • Identify potential risks and proactively implement measures to mitigate them, ensuring business continuity and compliance with regulatory requirements.

Merchandise Functions Management:

Work closely with Sales and Marketing; and Design teams to ensure cohesive execution of merchandising strategies to achieve high standards of quality and brand integrity across all products. Also ensuring all merchandising activities comply with company policies and local regulations.

Budgeting & Cost Control:

  • Prepare and manage annual administrative and procurement budgets.
  • Monitor expenses, identify cost-saving opportunities, and present regular reports on spending and vendor performance.

Product Development:

  • Prepare and manage the merchandising budget.
  • Develop and implement a comprehensive merchandising strategy that aligns with the company’s brand and business objectives.
  • Conduct survey and analysis to identify trends and opportunities.
  • Oversee product selection and assortment planning to ensure a diverse and appealing merchandise mix.
  • Collaborate with designers and production vendors to develop new products.
  • Manage product lifecycle from introduction to discontinuation.

Inventory and Fulfilment Management:

  • Optimize inventory levels to balance availability and cost.
  • Implement effective inventory control and replenishment strategies.
  • Develop and implement efficient logistics strategies to ensure timely and cost-effective delivery of merchandise.
  • Oversees team member to ensure good coordination of distribution centres, managing transportation logistics, and utilizing technology to track shipments and streamline operations.
  • Analyse fulfilment data to forecast demand and adjust inventory accordingly.

Team Leadership

  • Lead, mentor, and develop a team of efficient team structure to support each key functions
  • Ensure alignment and effective communication between team member and business units regarding merchandise fulfilment. Handle escalations and resolve any fulfilment-related issues to maintain high service level.
  • Streamline and review SOP regularly to close function gaps and boost the productivity of merch team.

Administrative Support

Office Operations:

  • Assist smooth office operations and upkeep, including cleanliness, reception services.
  • Manage company assets and company phones, security passes, and other office-related administrative tasks.

Employee Services (Onboarding/Offboarding & Engagement):

  • Assist in coordination of the onboarding/offboarding processes, including required documentation, equipment, and orientation.
  • Assist in in-house events when necessary.
Qualifications and Skills

Education & Experience:

  • Bachelor’s degree or equivalent in Business Administration, Management, or a related field.
  • Proven experience in administrative, facilities, or procurement roles, preferably in a managerial capacity.

Technical & Soft Skills:

  • Strong negotiation and vendor management skills.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills to collaborate effectively across teams and with external stakeholders.
