Job summary

Protea Placements is seeking an organised Reservations Manager for our Knysna-based luxury holiday rental and property management operation. The role focuses on delivering exceptional guest experiences while maximising bookings and revenue.

You will handle enquiries, quotations and reservations with attention to detail and a proactive, customer-first approach. The position is full-time from our Knysna office, with a base salary of R11 000 per month plus commission, and a readiness to participate

Qualifications

• Previous experience in reservations, hospitality, holiday rentals or guest-service administration.
• Excellent English communication skills, both written and verbal.
• Strong organisational abilities with exceptional attention to detail.
• Proven ability to manage multiple bookings, enquiries and administrative responsibilities simultaneously.
• Confident communicating with discerning guests and providing professional customer service.
• Strong sales ability with a proactive approach to converting enquiries into confirmed bookings.
• Proficiency in Microsoft Office, booking systems, task-management platforms and AI tools.
• Experience with calendar synchronisation across multiple booking platforms advantageous.
• Knowledge of Asana, Mailchimp and Sage advantageous.
• Strong problem-solving abilities and the ability to work independently and within a team.
• Matric certificate, valid driver’s licence and reliable own transport.
• Must be available to work full-time from the Knysna office.
• Willingness to participate in an agreed after-hours, weekend and public holiday standby schedule.
• Minimum of 3 recent, contactable references.

Responsibilities

• Manage the full reservations process, from initial guest enquiries through to booking completion and close-out.
• Prepare quotations, follow up on enquiries and convert prospective bookings into confirmed reservations.
• Coordinate booking confirmations, rental agreements and guest correspondence.
• Maintain accurate availability calendars, booking records and reservation information across multiple platforms.
• Provide professional guest support before, during and after stays, ensuring a seamless customer experience.
• Resolve guest enquiries and concerns promptly, escalating matters when necessary.
• Coordinate guest arrivals, departures and special requests with property managers and housekeeping teams.
• Liaise with the finance department regarding booking payments, refundable security deposits and outstanding balances.
• Maintain accurate reservation documentation and administrative records.
• Assist with approved marketing activities and occasional financial administration as required.
• Identify opportunities to improve booking conversions, guest satisfaction and reservation efficiency.
