Duties
  • Manage guesthouse bookings from enquiry through to departure.
  • Respond to booking enquiries via telephone, email and other communication channels.
  • Maintain an accurate and up-to-date booking system.
  • Confirm bookings and communicate all relevant information to guests.
  • Conduct guest check-ins and check-outs.
  • Welcome guests in a friendly and professional manner.
  • Handle guest queries, requests and complaints promptly and professionally.
  • Ensure guests receive an excellent overall experience.
  • Follow up on guest feedback and address issues where necessary.
  • Manage all guesthouse administration.
  • Check and confirm payments received for bookings.
  • Follow up on outstanding payments and deposits.
  • Issue invoices and receipts where required.
  • Ensure all booking and payment information is correctly recorded.
  • Maintain accurate guest records and documentation.
  • Assist with daily and monthly reporting.
  • Manage cancellations, amendments and refunds according to company procedures.
  • Ensure all guesthouse financial and administrative procedures are followed.
Day-to-Day Guesthouse Operations
  • Conduct regular inspections of guest rooms and common areas.
  • Ensure rooms and guest areas are ready for arrivals.
  • Communicate with housekeeping and maintenance regarding outstanding issues.
  • Report maintenance problems and follow up to ensure they are resolved.
  • Monitor stock levels of guesthouse supplies and request replenishment when required.
  • Assist with the coordination of housekeeping and other operational requirements.
  • Ensure the guesthouse maintains the standards expected.
  • Be available to assist with operational requirements when needed.
Requirements
  • Previous experience in guesthouse, hotel, lodge or hospitality management.
  • Previous experience with bookings and guest relations.
  • Strong administrative and organisational skills.
  • Experience handling payments, invoices and financial administration.

  • Reliable transport will be advantageous.
  • Knowledge of booking or hospitality management systems will be advantageous.
Working Hours
  • This is a hospitality management position and will require flexibility.
  • The successful candidate must be willing to work weekends, public holidays and outside of standard office hours when operationally required.
