Duties:
- Manage guesthouse bookings from enquiry through to departure.
- Respond to booking enquiries via telephone, email and other communication channels.
- Maintain an accurate and up-to-date booking system.
- Confirm bookings and communicate all relevant information to guests.
- Conduct guest check-ins and check-outs.
- Welcome guests in a friendly and professional manner.
- Handle guest queries, requests and complaints promptly and professionally.
- Ensure guests receive an excellent overall experience.
- Follow up on guest feedback and address issues where necessary.
- Manage all guesthouse administration.
- Check and confirm payments received for bookings.
- Follow up on outstanding payments and deposits.
- Issue invoices and receipts where required.
- Ensure all booking and payment information is correctly recorded.
- Maintain accurate guest records and documentation.
- Assist with daily and monthly reporting.
- Manage cancellations, amendments and refunds according to company procedures.
- Ensure all guesthouse financial and administrative procedures are followed.
Day-to-Day Guesthouse Operations:
- Conduct regular inspections of guest rooms and common areas.
- Ensure rooms and guest areas are ready for arrivals.
- Communicate with housekeeping and maintenance regarding outstanding issues.
- Report maintenance problems and follow up to ensure they are resolved.
- Monitor stock levels of guesthouse supplies and request replenishment when required.
- Assist with the coordination of housekeeping and other operational requirements.
- Ensure the guesthouse maintains the standards expected.
- Be available to assist with operational requirements when needed.
Requirements:
- Previous experience in guesthouse, hotel, lodge or hospitality management.
- Previous experience with bookings and guest relations.
- Strong administrative and organisational skills.
- Experience handling payments, invoices and financial administration.
- Excellent communication and interpersonal skills.
- Professional and friendly manner.
- Strong attention to detail.
- Ability to work independently and take initiative.
- Ability to handle pressure and busy periods.
- Good computer literacy.
- Reliable transport will be advantageous.
- Knowledge of booking or hospitality management systems will be advantageous.
Working Hours:
This is a hospitality management position and will require flexibility.
The successful candidate must be willing to work weekends, public holidays and outside of standard office hours when operationally required.
