Job summary

Talent Genie AI Recruitment Software is seeking a Sales Administration Assistant to act as the primary client liaison for orders, promotions, and pricing. You will contact customers to confirm orders when the sales representative is unavailable and ensure accurate processing.

You will keep customers informed about stock status or delays, resolve stock or system queries, and assist the warehouse and creditors' department. A bilingual multitasker will thrive in this role.

Qualifications

• Matriculation / Grade 12 or equivalent.
• At least 3 years’ experience in sales administration.
• Fully bilingual in Afrikaans and English.
• Proven multitasking ability and customer support to sales reps.

Responsibilities

• Initiate contact with customers to confirm orders when the sales rep is unavailable.
• Process customer orders promptly and accurately.
• Inform customers of stock availability, delays, and order progress.
• Resolve stock or system-related queries efficiently.
• Obtain daily back-order lists from warehouse to inform customers.
• Coordinate with creditors' department on customer account holds.
• Assist Warehouse and Operations during stocktakes.
• Maintain communication with sales reps about customer issues.
• Support additional operational tasks as required.

Job description

Purpose of the Role

To provide essential support to the sales team by acting as the primary client liaison concerning orders, promotions, and pricing.

Key Responsibilities

• Initiate contact with customers to confirm orders when the relevant sales representative is unavailable.
• Ensure prompt and accurate processing of customer orders.
• Keep customers informed throughout the order preparation process, including updates on unavailable stock or delays.
• Resolve any stock or system-related queries promptly and efficiently.
• Obtain a daily back order list from the warehouse to inform customers and assist in arranging suitable alternatives where necessary.
• Maintain regular communication with the creditors' department to confirm if customer accounts are on hold, relaying pertinent information to the sales representative.
• Assist the Warehouse and Operations teams during stocktakes.
• Maintain ongoing communication with sales representatives regarding any customer issues or queries.
• Undertake additional tasks as required to support operational needs.
  
  

Required Minimum Education & Work Experience

• Matriculation / Grade 12 or equivalent as a minimum educational requirement.
• Minimum of three years' experience in sales administration.
• Fully bilingual in Afrikaans and English.
• Proven ability to multitask effectively.
• Demonstrated capability to support sales representatives efficiently.
