Job summary

Gateway Truck & Refrigeration in Collinsville, IL is seeking a detail‑oriented Administrative/Warranty Clerk to join our team. You will assist with warranty processing, invoicing, and billing accuracy while maintaining service records and supporting the warranty department.

The role requires a high school diploma or equivalent and a valid driver’s license, with 2+ years of invoicing/clerical experience preferred. Excellent organizational and communication skills are essential.

Responsibilities

• Process and file warranty claims in a timely manner.
• Assist Service Manager and warranty dept with invoicing.
• Verify warranty and maintenance agreements for accurate billing.
• Maintain service records and prepare customer invoices.
• Work with Accounts Payable on receipt/invoice questions.
• Answer customer questions promptly and courteously.

Job Duties

• Assist with processing and filing warranty claims in a timely manner.
• Assist the Service Manager and warranty department with invoicing.
• Ability to understand and verify warranty and maintenance agreements for accurate customer billing each month.
• Assist with filing and maintaining service records as needed.
• Assist the service and warranty department with any clerical needs.
• Maintain service records and prepare billing invoices for customers.
• Work with Accounts Payable to resolve any receipt/ invoice questions.
• Answer all customer questions in a timely and courteous manner.
• Other duties as assigned.
