Job summary

Mass General Brigham's Brigham and Women's Hospital seeks a Surgical Coordinator to organize vascular surgery procedures, manage preoperative testing, and coordinate patient journeys from scheduling through surgery.

You will collaborate with surgeons, clinical teams, and staff in a hybrid, Monday–Friday environment, handling scheduling, documentation, and communication with patients and providers.

Qualifications

• High school diploma or equivalent required.
• 2-3 years of office experience required.
• Proficiency in Microsoft Office Suite and familiarity with standard office operations and administrative procedures.
• Strong written and verbal communication with patients, providers and colleagues.
• Excellent organizational, multitasking, and time management skills.
• Ability to manage routine and non-routine phone inquiries and maintain documentation.

Responsibilities

• Coordinate and schedule surgical procedures for all vascular surgeons at Brigham and Women's Hospital, ensuring accurate and timely scheduling.
• Arrange preoperative testing, appointments, and related scheduling requirements for patient preparation.
• Collaborate with surgeons, clinical teams, and administrative staff to coordinate schedules, manage changes, and support efficient practice operations.
• Serve as a key point of contact for patients, providing scheduling information and appointment details.
• Schedule patient visits, maintain accurate records, and support check-in/out processes.
• Assist with prior authorization inquiries, insurance-related documentation, and communications involving prescriptions, provider questions, and test results.
• Maintain accurate patient records in Epic, including scanning documentation and requesting records/tests.
• Serve as an Epic Super User for scheduling, registration, and billing systems, with training to colleagues.
• Support daily administrative operations and other activity coordination.
