Job summary

Dobbs Truck Group in Pearl, MS, seeks a detail-oriented Service Department administrative assistant to initiate and process repair requests and provide essential admin support. The role involves collecting customer details, writing up issues in Decisiv, scheduling repairs, and maintaining accurate records.

You will communicate with customers and foremen, verify information, and assist with payment processing, while ensuring timely updates and clear explanations of costs and timelines.

Qualifications

• Minimum age 18 and legal eligibility to work.
• Ability to learn and follow manufacturer service specifications.
• Strong communication and customer service skills; detail oriented with accuracy.

Responsibilities

• Collect details on customer complaints and expectations.
• Perform vehicle walk around inspections and verify vehicle information.
• Perform on the spot vehicle diagnostics, review service history, and recommend additional service needed.
• Advise customers on vehicle care and manufacturer specifications.
• Write up customer vehicle problems accurately in Decisiv and obtain signatures.
• Establish repair time promises based on shop workflow and communicate with foreman.
• Enter payment method and obtain credit approval if needed.
• Create repair orders and secure Decisiv with signatures in jacket.
• Monitor progress, communicate changes to customers, and obtain authorization for further repairs.
