Role Overview
As Treatment Coordinator, you are the bridge between diagnosis and care. You will present treatment plans with clarity and confidence, guide patients through their financial and scheduling decisions, and make sure no patient falls through the cracks between "recommended" and "completed". This is a boutique, fee-for-service practice. Every patient interaction reflects a white‑glove, concierge-level experience, and you will be the steady, trusted voice that makes complex treatment feel simple.

Patient Experience
- Present treatment plans clearly, translating clinical language into terms patients understand and trust
- Guide patients from diagnosis to scheduled, committed appointments
- Serve as the primary point of contact for patients navigating treatment decisions
- Follow up on unscheduled and incomplete treatment until it is resolved
- Maintain the refined, elevated patient experience that defines our practice
Financial Coordination
- Present and discuss fees with confidence — we are a fee-for-service practice, and you approach these conversations without hesitation or apology
- Position insurance reimbursement as an added value during the financial conversation not the primary payment method; reinforcing our fee-for-service, non-network model while still helping patients maximize their out-of-network benefits
- Structure and offer flexible payment arrangements, including financing options
- Track and report case acceptance and treatment conversion
- Coordinate with the clinical team on treatment sequencing and priority
Operations
- Maintain accurate, organized patient records in Dentrix
- Collaborate daily with the doctor and the clinical team on case presentation strategy
- Keep the schedule full and treatment moving forward without unnecessary delay

- You have worked in dentistry, and you understand that a treatment plan is only successful once it is scheduled and completed
- You are polished, warm, and confident — someone patients trust from the first conversation
- You do not shy away from discussing fees; you see it as part of helping patients get the care they need
- You are organized, self-motivated, and you follow up without being asked twice
You Also Bring
- Dental treatment coordination experience — required, minimum 2 years
- Experience presenting and closing treatment plans — required
- Proficiency in Dentrix — required
- Registered Dental Assistant (RDA) or clinical background — preferred, not required
- Strong understanding of dental financing and payment arrangement options
- Exceptional communication skills — with patients, with the clinical team, and with leadership
- A natural ability to build trust and guide patients through significant treatment decisions
- Comfort and professionalism representing a luxury, appointment-based practice
Qualifications
- Prior dental front office and financial coordination experience is a MUST
- Experience with Dentrix is strongly preferred
- Exceptional communication and interpersonal skills
- Highly organized, reliable, and detail-oriented
- Honest, ethical, and trustworthy with patient and financial information
- Comfortable working independently in a solo‑doctor private practice and with a close knit team
Schedule
Monday – Thursday: 8:00 AM – 5:00 PM
Fridays: 8:00 AM – 3:00 PM
