Qualifications

  • 3+ years' related experience in payroll and timekeeping.
  • Knowledge of timecard calculations and payroll processing rules.
  • Excellent verbal and written communication and organizational skills.
  • Experience with multi-state payroll and multi-site environments.
  • Proficiency with ADP platforms and MS Office.

Responsibilities

  • Report contingent employee hours weekly to agencies.
  • Submit hour adjustments to agencies as applicable.
  • Reconcile agency invoices with daily time submissions and prepare supporting docs.
  • Interpret timecard and accrual calculations per policy and regulation.
  • Update employee time profiles to ensure accurate timecards and accruals.
  • Respond to inquiries from employees, managers, and agencies.
  • Run reports and audits of timecard, accrual data and pay activities.
  • Troubleshoot timecard and accrual issues.
  • Prepare internal and external process documentation and job aids.
  • Maintain internal controls documentation.

Job description

Purpose of Position: This position is responsible for the administration of time tracking and payroll processing using ADP Vantage ensuring regulatory compliance and adherence to company policies for approximately 1600 employees and several thousand contingent workers in a multi-state environment and Canada.

Essential Duties and Responsibilities
  • Responsibilities include reporting contingent employee hours to be paid to their respective agencies on a weekly basis
  • Submitting hour adjustments to agencies as applicable
  • Reconciling agency invoices received against all daily time submitted for the processing period and then sending reconciliation worksheets and supporting documentation to SVP to approve invoice for payment
  • Must be knowledgeable in timecard calculations as it relates to federal and state regulations to include daily, weekly and 7 consecutive day overtime in California
  • Must be able to interpret and apply company pay policies as it relates to timecard and accrual calculations
  • Based on employee indicative data, be able to determine and update employee time profiles to ensure that the employee timecard and accrual calculations are accurate
  • Respond to employee, manager and agency timecard inquiries
  • Run reports and perform multiple audits to include employee level set up, timecard and accrual calculations to ensure regulatory and company compliance
  • Be able to troubleshoot timecard and accrual issues
  • Be able to prepare and communicate internal and external process documentation and job aids
  • Maintain appropriate internal controls, including documentation of the performance of such controls
Assist with Payroll activities
  • Manage work flow notifications and take action as applicable for new hires, terminations, transfers
  • Assist in processing multi-state payroll
  • Maintain employee tax records for seasonal workers
  • Prepare and load import files for commissions, bonuses, gifts / prizes, etc.
  • Calculate manual checks
  • Be able to interpret and apply FLSA & state regulations particularly as it relates to regular rate for overtime and determining taxable wages
  • Run reports and perform detailed audits of employee indicative data changes and payroll data in preparation for payroll processing.
  • Administer post payroll & monthly reporting activities
  • Run, validate and distribute internal and external reports
  • Maintain appropriate internal controls, including documentation of the performance of such controls
Other duties as assigned

  • 3+ years' related experience
  • Knowledge of principles and practices in timecard calculations and payroll processing; rules, laws and requirements

  • Strong attention to detail and accuracy required
  • Demonstrate a high degree of integrity and discretion in the handling of confidential information
  • Working knowledge in one of the following time and accrual applications: ADP Vantage Time, ADP E-time, Kronos Workforce Central
  • Working knowledge in one of the following ADP payroll applications: ADP Vantage, Enterprise, Workforce Now
  • Working knowledge of ADP reporting
  • MS Office to include intermediate to advanced skills in Excel and Word
  • Bachelor's degree in related field or equivalent experience required
  • Certified Payroll Professional (CPP) designation or progress toward or interest in pursuing CPP designation
