Job summary

firstPRO, Inc is seeking a seasoned Payroll Manager to oversee multi-state payroll operations for 400–500 employees, including Canada, with a strong focus on accuracy and compliance.

You will lead a team of 4, drive system upgrades and data integrations between ADP and vendor systems, and partner with HR, Benefits, and Accounting to resolve discrepancies and support financial reporting. A Bachelor’s degree with CPP is preferred; strong Excel and ADP knowledge are required.

Qualifications

• 5+ years of multi-state payroll experience with at least 2 years in a direct supervisory or management role.
• Proven, hands-on experience leading payroll software implementations, system integrations, and onboarding platform setups.
• Strong proficiency in Microsoft Excel (required) and working knowledge of ADP systems (ADP Vantage preferred, ADP Workforce Now applicable).
• Deep knowledge of multi-state payroll principles, tax reporting requirements, wage and hour regulations, and exposure to Canadian payroll.
• Bachelor’s degree in Accounting, Finance, HR, or a related field preferred (equivalent work experience accepted); CPP certification is a plus.

• System Implementation & Data Integration: Lead system upgrades and onboarding platform setup; manage data feeds between ADP and vendor systems.
• Multi-State Compliance & Audit: Audit payroll transactions, maintain compliance records, process amendments/W-2s, and set up new ADP reporting locations.
• Specialized Payroll & Cross-Functional Operations: Balance After-Hours, SPIFF, and Blue Volt payments; collaborate with HR, Benefits, and Accounting.

Job description

Compensation: $38.00 – $40.00 / hour ($80,000 – $85,000)

Schedule: Monday – Friday (Full-Time)

Key Responsibilities

• Payroll Operations & Team Leadership (50%): Supervise, mentor, and oversee a team of 4 Payroll Administrators. Manage accurate weekly payroll execution for 400–500 employees, as well as bi-weekly multi-state payroll across 45 states and an affiliate in Canada.
• System Implementation & Data Integration (25%): Lead system upgrades, software enhancements, and the setup/implementation of the onboarding platform. Build and manage automated data feeds between ADP and vendor systems to ensure precise data flow.
• Multi-State Compliance & Audit (15%): Audit payroll transactions, maintain compliance records, process amendments/W-2s, and set up new ADP reporting locations for branch expansions.
• Specialized Payroll & Cross-Functional Operations (10%): Process and balance After-Hours, SPIFF, and Blue Volt employee payments. Partner closely with HR, Benefits, and Accounting departments to resolve discrepancies, handle corporate audit requests, and support financial reporting.

What You Bring

• Leadership & Payroll Experience: 5+ years of multi-state payroll experience with at least 2 years in a direct supervisory or management role.
• Implementation Track Record: Proven, hands-on experience leading payroll software implementations, system integrations, and onboarding platform setups.
• Technical & Software Proficiency: Strong proficiency in Microsoft Excel (required) and working knowledge of ADP systems (ADP Vantage preferred, ADP WorkForce Now applicable).
• Compliance Expertise: Deep knowledge of multi-state payroll principles, tax reporting requirements, wage and hour regulations, and exposure to Canadian payroll.
