Job summary

BKF, a long-standing multi-service infrastructure firm, seeks a Project Operations Manager to lead administrative and operational functions for its Survey delivery team. You will oversee budgets, billing, contracts, and staffing across multiple projects to ensure timely, accurate delivery.

The role requires senior-level operations experience in engineering or surveying environments, strong Excel and financial acumen, and the ability to drive process improvements.

Qualifications

• Bachelor’s degree or equivalent experience.
• 8+ years in project operations, administration, or business operations in engineering, surveying, construction, or professional services.
• Strong understanding of project financials, billing, and contract administration.
• Experience supporting multidisciplinary project teams.
• Proficiency with project mgmt and accounting systems (Deltek/Ajera/Vision preferred).
• Advanced organizational, communication, reporting and problem-solving skills; Excel proficiency.
• Ability to manage multiple priorities in a fast-paced environment.
• Experience in engineering or land surveying firms preferred.
• Familiarity with public agency contracts and IDIQ/on-call programs preferred.
• Proven ability to drive process improvements and operational excellence.

Responsibilities

• Oversee day-to-day administrative operations for assigned project teams.
• Manage project setup, documentation, filing systems, and closeout processes.
• Coordinate internal workflows among project managers, survey crews, engineers, accounting, and admin staff.
• Partner with Project Managers to monitor budgets, forecasts, and performance metrics.
• Oversee billing processes and track contract values, amendments, and change orders.
• Monitor accounts receivable and support collections efforts.
• Prepare regular financial reports and dashboards for leadership.
• Administer contracts, subconsultant agreements, and purchase orders.
• Ensure compliance with contractual requirements, insurance provisions, and client procedures.
• Support proposal transitions from pursuit to execution with complete documentation.
• Assist staffing coordination to balance workloads and maximize utilization.
• Support onboarding of new team members to projects and systems.
• Foster communication between disciplines to resolve operational bottlenecks.
• Identify opportunities to streamline project delivery and improve efficiency.
• Ensure adherence to internal quality management systems and best practices.
• Develop standardized tools, templates, and workflows for consistent execution.
• Provide operational guidance and mentoring to project admins and coordinators.
• Act as trusted partner to Project Managers and technical leads.
• Foster a collaborative, accountable, and service-oriented team culture.
