Job summary

Qualifications

• High school diploma or equivalent; post-secondary business coursework preferred.
• Minimum two years' experience in procedural services or healthcare settings.
• Basic understanding of medical terminology.
• Strong verbal and written communication for collaboration with clinical and admin teams.
• Proficiency with PC systems; Epic experience preferred.
• Excellent attention to detail and organizational skills.

Responsibilities

• Coordinate and schedule surgical and procedural cases.
• Liaise between surgical offices, admitting, anesthesia, and nursing staff to ensure efficient scheduling.
• Verify case details before scheduling (procedure type, codes, settings).
• Ensure proper sequencing to optimize patient flow and OR efficiency.
• Adhere to block booking policies and daily schedule limits.
• Proactively communicate potential conflicts and overbookings to providers.
• Provide excellent customer service to clinical staff, surgeons, and administrative counterparts.
• Perform occasional maintenance of Epic scheduling templates.
• Educate patients on procedures and prep instructions.
• Assist with financial clearance tasks including prior authorizations and referrals.
• Use Craneware and other tools for medical necessity checks.
• Review authorization requirements and cost sharing via provider portals.
• Educate patients on cost sharing and pre-payment collection.
• Coordinate with third-party services for image/pathology coordination if needed.
