Job summary

The University of Virginia seeks a Scheduling and Registration Specialist to coordinate multi-specialty patient appointments and manage registrations from check-in to check-out. You will ensure accurate records, proper authorization, and a smooth patient experience across care teams.

Qualifications include a High School Diploma or Equivalent (Associates degree preferred) and at least 2 years of relevant experience; privacy and professional communication are essential.

Qualifications

• Education: High School Graduate or Equivalent required. Associates degree preferred.
• Experience: 2 years relevant experience required. Access Associate fully cross-trained to cover multiple specialties will be considered in lieu of the 2 years relevant experience.
• Licensure: None required.

Responsibilities

• Independently answers telephones, schedules, confirms appointments and maintains appointment and procedure schedules.
• Registers patients, takes payments and provides receipts.
• Abstracts appropriate health data into EMR and ensures records are correctly labeled.
• Maintains privacy during all interactions including check-in and ensures patient communications are customer oriented.
• Coordinates appointments with Pre Arrival Unit and ensures authorization for in/out of network entities where needed.
• Liaises with care team to review complex scheduling needs and resolves scheduling conflicts.
• Creates appointment letters and reschedules as appropriate, ensuring high quality data capture and adherence to office policy.
