Job summary

The Landline Company is seeking a Fleet Manager to lead maintenance, safety, and reliability for a growing motorcoach fleet. You will partner with OEMs, regional partners, and our SOC to keep buses in service and compliant, while building scalable processes and forecasts.

In this remote-friendly role, you will own Fleetio and Samsara, manage budgets, coordinate planned and unplanned work, review invoices, and report KPIs.

Qualifications

• 5-10 years in transportation operations or related field.
• Degree in Industrial Engineering, Operations Research, Supply Chain, or equivalent hands-on experience.
• Strong data and analytical skills; Excel required; SQL, Python, or BI tools like Tableau/Power BI a plus.
• Familiarity with Fleetio and Samsara.
• Comfort using and recommending AI tools to move quickly across projects.
• Excellent communication and interpersonal skills with frontline staff.
• High-energy, self-directed startup mindset; comfortable remote collaboration.

Responsibilities

• Own the maintenance function with plan, vendors and data for our fleet, with a path to scaling to support a 100-motorcoach fleet.
• Build and maintain a rolling maintenance forecast aligned to OEM intervals and usage patterns.
• Maintain the maintenance budget with Finance, including updates and variance reporting.
• Coordinate unscheduled and corrective maintenance without disrupting service operations.
• Keep accurate service records in Fleetio and Samsara; track DVIR resolution and escalations to SOC.
• Manage parts and consumables procurement and validate pass-through costs from partners.
• Flag recurring issues or vehicles approaching end of useful life using maintenance data.
• Serve as Landline's representative for all work at external maintenance facilities; issue work orders.
• Schedule all planned and unplanned work and ensure buses are positioned on time.
• Review and approve partner invoices, flag discrepancies, and track overtime against budget.
• Plan quarterly reviews with key maintenance vendors.
• Give SOC and leadership a real-time view of fleet readiness and constraints.
• Own Fleetio and Samsara access and IT interfaces with partners.
• Plan and manage vehicle assignments, identify capacity risks, and plan additions/retirements.
• Maintain vehicle files (registration, insurance, inspections, warranties).
• Coordinate warranty claims with OEM reps and technician training.
• Track TSBs, service bulletins, and recalls and advise leadership on procurement.
• Provide advance notice of maintenance windows and report unplanned outages with estimates.
• Ensure compliance and timely inspections; keep audit-ready records and KPI reports.
