Job description

A leading global investment and technology firm with gorgeous offices in Midtown Manhattan is seeking a highly organized, resourceful, and proactive Senior Executive Assistant to provide exceptional administrative and operational support to senior executives. Candidates must have a minimum of 7-10+ years of applicable experience ideally working in a corporate environment (although the firm is committed to building a diverse team of talented individuals and encourages candidates with a wide range of professional backgrounds and experiences to apply) and a Bachelor's degree is strongly preferred/required. They should be incredibly polished and professional, smart, eager, strategic, and possess excellent interpersonal and communication skills (both verbal and written). Salary depends on experience ($130,000-145,000 base salary), plus paid overtime (for hours worked over 40 per week) and discretionary year-end bonus eligibility.

Hours are 9:00am-6:00pm, with flexibility. Hybrid work schedule (3 days in the office / 2 days remote). Strong emphasis on work-life balance and generally predictable working hours.

Responsibilities
  • Provide high-level administrative and operational support to senior executives, managing a broad range of strategic and day-to-day responsibilities.
  • Manage complex and dynamic calendars, prioritize competing demands, and proactively identify and resolve scheduling conflicts.
  • Triage incoming communications and serve as a trusted liaison between executives, internal teams, and external stakeholders.
  • Coordinate domestic and international travel, meetings, conferences, and events with precision and attention to detail.
  • Anticipate executive needs and proactively manage follow-ups, logistics, and time-sensitive priorities.
  • Help keep business initiatives organized and on track by coordinating information, deadlines, and next steps.
  • Take ownership of ad hoc projects and initiatives that require strong judgment, organization, and problem-solving skills.
  • Handle confidential and sensitive information with the highest degree of discretion and professionalism.
  • Leverage productivity tools and emerging technologies, including generative AI, to improve workflows and support executive effectiveness.
  • Work independently while collaborating closely with other Executive Assistants and teams across the firm.
Requirements/Qualifications
  • Minimum 7-10+ years of relevant professional experience, ideally supporting senior executives or multiple senior leaders in a demanding environment.
  • Bachelor's degree strongly preferred, but not required.
  • A strong track record of tenure and longevity in previous roles; demonstrated commitment and stability are highly valued.
  • Experience working in a rigorous, high-performance environment where expectations are high and attention to detail is critical.
  • Proven ability to support demanding senior leaders with professionalism, sound judgment, discretion, and a strong service mindset.
  • Exceptional written and verbal communication skills, with outstanding attention to grammar, accuracy, and detail.
  • Highly organized, proactive, resourceful, and able to manage multiple competing priorities without losing sight of the details.
  • Strong work ethic and a willingness to take ownership, follow through, and do what is needed to support the team.
  • Intellectually curious, bright, collaborative, low-ego, and easy to work with, with the ability to build strong relationships across a range of personalities and working styles.
  • Comfortable working independently while also being a collaborative and supportive team member.
  • Strong technology skills and the ability to quickly learn and adopt new tools, including Microsoft Office, particularly Outlook, Slack, Confluence, SharePoint, and generative AI tools.
  • Experience in financial services is not required. The firm welcomes candidates from a wide range of industries and professional backgrounds, particularly those who have demonstrated success in similarly fast-paced and rigorous environments.
  • Client service, hospitality, government, technology, startup, creative, or other high-touch professional experience can be highly relevant.
