Job summary

Russell Tobin is hiring an experienced Event Operations Specialist to support a high-growth technology client’s Brand Marketing events team. This role will manage end-to-end operational workflows, scale event programs, and develop documentation and playbooks to improve consistency across a growing event portfolio.

Qualifications

• 6+ years in B2B event marketing or operations.
• Hands-on with Swoogo and/or Cvent.
• Experience with Salesforce and HubSpot for tracking.
• Experience with procurement or vendor management tools such as Zip or Ironclad.
• Experience supporting large-scale events (500+ attendees).
• Ability to manage multiple concurrent programs with deadlines.
• Strong vendor coordination, logistics, and execution skills.
• Background in swag, merchandise, inventory, shipping, or fulfillment ops.
• Excellent written and verbal communication.
• Experience creating SOPs, playbooks, or scalable processes.

Responsibilities

• Own end-to-end registration, from strategy to attendee communications and reporting.
• Configure registration environments with Swoogo and Cvent.
• Develop registration dashboards and manage approvals, waitlists, inquiries.
• Coordinate onsite registration logistics and provide onsite support.
• Lead cross-functional stakeholder communications.
• Manage speaker training program and vendor relations.
• Coordinate onsite meeting requests and multi-day scheduling.
• Oversee swag/merchandise operations and fulfillment.
• Create SOPs and playbooks for repeatable event workflows.
• Identify automation opportunities to improve efficiency.
• Build training materials for cross-functional teams.
