Job summary

University of Michigan’s Michigan Medicine in Ann Arbor is seeking an experienced administrative support professional to assist a subspecialized team in Anatomic Pathology. You will help manage the department’s calendar, coordinate scheduling and travel, and prepare teaching materials, abstracts, grants and other documents for submission.

You will support Fellows recruitment, onboarding, reimbursements and offboarding, and ensure smooth operations across clinical and research activities.

Qualifications

  • Associate degree or equivalent combination of education and experience.
  • Minimum of four years of administrative support experience.
  • Experience using Microsoft Word, PowerPoint, Excel, and web-based applications.
  • Excellent interpersonal and written communication skills; ability to work independently and collaboratively.
  • Strong customer service skills in all interactions.
  • Ability to work with a diverse group of people diplomatically.
  • Ability to multitask and meet time constraints.
  • Strong organizational skills.
  • Demonstration of commitment to Service Excellence.

Responsibilities

  • Provides advanced administrative support to a subspecialized team of faculty and trainees in Anatomic Pathology and manages patient assets for faculty, fellows, and residents.
  • Manages departmental scheduling software and Laboratory Information System applications; assists Pathologists with the Service Calendar.
  • Shares knowledge of university policies with peer staff.
  • Assists faculty in preparing teaching materials, abstracts, grants, articles, and other documents for submission.
  • Assists Fellowship Director with Fellows recruiting, onboarding, reimbursements and offboarding.
  • Schedules and maintains calendar of appointments, meetings, travel itineraries, reimbursements and related arrangements.
  • Assists with planning events and conferences.
  • Coordinates meetings with clinical partners from research, operating rooms, clinics and outside customers.
  • Prepares and distributes minutes from meetings.
  • Assists with planning visiting professors including travel, lodging, itineraries and reimbursements.
  • Manages diagnostic materials and work queues; submits orders for additional tests as needed.
  • Prepares cases for multidisciplinary tumor boards or conferences.
  • Manages telephone calls, visitors, and inquiries; provides professional service.
  • Maintains CV and certification documents for faculty.
  • Cross coverage of other services as needed.
