Job summary

i2G Systems seeks an Operations Coordinator to support the Field Operations Manager and Project Managers across regional offices. You will coordinate meetings, track tasks, set deadlines, review status reports, and provide timely leadership updates.

The role includes scheduling resources, conducting SharePoint and SimPro audits when possible, and driving project tasks to completion with a proactive, self‑starting approach.

A strong focus on accuracy and communication is essential.

Responsibilities

• Support BMO quote generation/site survey/sub pricing.
• Support BMO quote review.
• Verify projects are ready for kickoff meetings.
• Engage resources for kickoff meetings and coordinate input into tracking software.
• Schedule internal kickoff with PM, Ops, Eng, Sales and ensure tasks are tracked.
• Coordinate post-award site surveys and customer kickoff with PM.
• Drive tasks to completion, escalating overdue items to Operations management.
• Assist with ODC items such as rentals and material receipt for mobilization.
• Coordinate mobilizations with site, subcontractors, and ODC providers.
• Ensure readiness of all resources one week prior to mobilization.
• Handover task tracking to PM upon mobilization and assist with customer kickoff.
• Support change order processes from PM and coordinate with engineering and subs.
• Ensure PMs deliverables are on track and milestones are met.
• Audit labor assignments to jobs and monitor billing milestones.
• Drive project closeout tasks and ensure complete documentation.
• Compile lessons learned and support responses from Operations.
• Provide cross-departmental support with guidance from Operations management.
• Other departmental needs as required by the company.
