Job summary

i2G Systems is seeking an Operations Coordinator to support the Field Operations Manager and Project Managers across regional offices, from award to project completion. You will coordinate meetings, track tasks, set deadlines, review reports, and ensure accurate weekly status updates for leadership, while assisting with scheduling resources and audits to improve processes and on-time mobilization.

Responsibilities

• Support BMO quote generation/site survey/sub pricing
• Support BMO quote review
• Verify pending projects are ready for project kickoff meetings.
• Engage resources for kickoff meetings.
• Schedule internal kickoff with PM, Ops, Engineering, Sales and input into tracking software.
• Engage with PM to coordinate post award site survey/customer kickoff
• Drive tasks to completion and escalate overdue items
• Assist with ODC items such as rentals
• Validate material completion or partial receipt for mobilization
• Assist PM to coordinate mobilizations
• Confirm readiness of all resources 1 week prior to mobilization
• Handover all task tracking to PM upon mobilization
• Assist PM with customer kickoff
• Support change order process from PM
• Check on deliverables PM responsible for
• Confirm labor is properly assigned to jobs (audit)
• Remind PMs of billing milestones and monthly updates
• Drive project closeout tasks and final billing
• Compile lessons learned and assist with responses
• Provide support to Business Development, Sales and others as needed
• Other duties as required by the company.
