Job summary

Qualifications

• High school diploma or GED required.
• Minimum 2 years administrative experience.
• Strong organizational, multitasking, and communication skills.
• Customer-service oriented with excellent phone and interpersonal skills.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Ability to work in a high-paced, performance-based environment.

Responsibilities

• Maintain service utilization above 90% and track permanent schedules for assigned clients.
• Monitor client service hours, staff availability, and address cancellations promptly.
• Coordinate make-up sessions, reschedules, and additional service time as needed.
• Maintain staffing logs and support recruiting efforts, including interviews and onboarding.
• Track new hire training and coordinate Day 1 schedules.
• Triage staff and client concerns and provide timely resolution.
• Ensure compliance with policies, HIPAA, and scheduling regulations.
• Support administrative and scheduling department operations, including audits and reporting.
