Job summary

GI Alliance is seeking an organized scheduling specialist to coordinate patient appointments and radiology/lab scheduling across multiple Austin-area clinics. The role supports patient care with flexibility to work at different locations and requires strong communication and customer-service skills.

Responsibilities include managing physician calendars, handling triage messages, assisting with registration and payments, and accurately updating EMR records.

Qualifications

  • Excellent written and verbal communication skills.
  • Excellent customer service is required.
  • Experience working in a medical office.
  • Ability to multi-task and work in a fast-paced environment.
  • Detail-oriented.
  • Basic understanding of healthcare plans.
  • Be able to read and understand medical benefits.
  • Bilingual is a plus.

Responsibilities

  • Schedule patients for office visits and procedures (via phone or in person).
  • Maintain physicians schedules across multiple clinic locations.
  • Take triage messages for medical staff.
  • View patient visit notes, identify problems and orders.
  • Assist in patient registration and financial transactions.
  • Recall scheduling when needed.
  • Assist with check-in and check-out at the office.
  • Collect patient and insurance payments and reconcile charges daily.
  • File records in EMR and prepare patient charts.
  • Scan documents into EMR charts.
  • Perform other duties as assigned.
  • May schedule radiology or lab work.

Position purpose

Schedule patients for office visit and procedure appointments.

To support patient care, this position requires flexibility to work at different clinic locations.

Responsibilities/Duties/Functions/Tasks

  • Assist with high call volume
  • Maintain physicians schedules – scheduling office visits and procedures (may be done via phone or face-to-face)
  • Take triage call messages for medical staff
  • View patient visit notes, identifying problems & diagnosis listed and physician orders
  • Assist in patient registration and financial transactions
  • May include recall scheduling
  • Assist with check-in patients upon arrival at the office as well as check-out upon departure.
  • Assist in collecting patient and insurance payments and reconcile charges on a daily basis.
  • File records in appropriate sections of patient charts in EMR.
  • Prepare patient charts in advance and scan documents into charts in EMR.
  • Perform other duties as assigned
  • May schedule radiology/lab

2-5 years of prior medical scheduling is preferred

Requirements For Level II Status
  • Intermediate experience (4+ years’ experience) and/or acting more independently,
  • Takes on some additional duties to assist the office.
  • Strong and consistent performer.
Performance Requirements
  • Excellent communication skills, both written and verbal.
  • Proficient technical (computer) skills.
  • Ability to multi-task and prioritize.
  • Self-motivated with initiative.
