Qualifications

  • Minimum one year of work experience in a medical office, or 3–6 months related experience and/or training or equivalent combination of education and experience.
  • Detail oriented with a professional attitude and reliable work ethic.
  • Ability to follow verbal and written instructions with clear grammar and spelling.
  • Interpersonal skills to support customer service and teamwork.
  • Able to communicate effectively in English, both verbally and in writing.
  • Basic to intermediate computer operation; proficiency with Excel, Word, and Outlook.
  • Knowledge of HIPAA guidelines and state/federal regulations related to the position.

Responsibilities

  • Schedules all appointments for providers in the computer system, excluding procedural slots.
  • Verifies patient demographics and insurance information in the system.
  • Confirms appointments and answers questions about scheduling.
  • Instructs patients on locations and directions to the facility.
  • Enters and retrieves data in the computer system accurately.
  • Answers incoming calls and routes messages to the appropriate extensions.
  • Adheres to safety policies while delivering high quality customer service.
  • Performs additional duties as needed for the organization.

SECTION 1: Job Summary (Summary of the basic functions of the position)Schedules appointments and performs various clerical duties to assist patients and clinical staff inproviding patient care by performing the following duties:SECTION 2: Duties and Responsibilities (Responsibilities necessary to accomplish job functions)Schedules all appointments for providers in computer, except patients for patients needing procedural appointments (i.e., Mohs, excisions, cryotherapy, laser)Verifies all pertinent patient demographic information in computer system, including insurance information.Confirms patients’ appointment and answers incoming questions about appointments.Instructs patients in locations and directions.Enters appropriate data into computer and retrieves data.Answers telephone, and directs patients, salespeople, and visitors to the correct telephone extension, takes messages as neededAdheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.Performs other duties that may be necessary or in the best interest of the organization.SECTION 3: Experience RequirementsMinimum one year of work experience in a medical office, or three to six months related experience and/or training or equivalent combination of education and experienceSECTION 4: Knowledge, Skills and Abilities RequirementsDetail oriented, professional attitude, reliableManagement and organizational skills to support the leadership of this functionAbility to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretationsInterpersonal skills to support customer service, functional, and team mate support needsAble to communicate effectively in English, both verbally and in writingMathematical and/or analytical ability for basic to intermediate problem solvingBasic to intermediate computer operationProficiency with Microsoft Excel, Word, and OutlookSpecialty knowledge of systems relating to job functionKnowledge of state and federal regulations for this position; general understanding of HIPAA guidelinesSECTION 5: Supervisory Responsibilities:This position has no supervisory responsibilities.
