Job summary

Dartmouth Health is seeking a Referral Coordinator to support the referral process across our services and coordinate with clinicians to ensure timely patient access. You will answer patient inquiries, greet visitors, and guide them through forms and digital tools while managing communications with providers and insurance.

This full-time role emphasizes accuracy in scheduling, processing authorizations, and ensuring high-quality patient interactions within the Dartmouth Health system.

Qualifications

• High school diploma or equivalent with 1 year experience in provider office.
• Ability to effectively interact with providers, staff, patients and insurance plan representatives.
• Prior computer experience and attention to detail.

Responsibilities

• Responds to patient calls providing general information and education.
• Greets patients arriving for appointments, assists with forms and use of technology, and communicates delays.
• Assesses needs of patients without appointments and processes requests for prescriptions, forms, or appointments.
• Reviews daily schedules for accuracy and reschedules to ensure full bookings.
• Follows up on post-visit needs such as appointments and lab tests.
• Handles calls, takes messages, schedules appointments or transfers when needed.
• Monitors system messages and faxes to determine action.
• Processes authorizations and pre-certifications for external procedures.
• Reviews end-of-day provider schedules and follows up with patients.
• Supports staff in addressing patient questions and concerns.
• Monitors waiting room and uses service recovery tactics for concerns.
• Manages messages, prioritizes and routes tasks.
• Liaises with PCPs and external specialists.
• Monitors referral queues and processes new referrals per procedures.
• Implements policies and participates in referral process improvements.
• Delivers and collects department mail, runs tracers and system checks.
• Performs other duties as required.
