Job summary

Thomasville Restoration is forming a Reconstruction Job File Coordinator role to support our growing Project Coordination Team, reporting directly to the Head of Project Coordination. You will handle job setup, alignment with customers, and scheduling while maintaining file integrity and compliance.

The position requires multi-tasking, strong communication, and the ability to work in a fast-paced environment, with on-call duties including overnights and weekends.

Qualifications

• 2+ years in coordinator or administrator roles, preferably in restoration.
• Able to participate in on-call rotation including overnights and weekends.
• Strong verbal and written communication, interpersonal, problem-solving, sales, and negotiation skills.
• Fluent in English; Spanish a plus.
• Experience with project management systems and MS Office.

Responsibilities

• Receive new job assignments and set up in DASH; coordinate with customers and departments to schedule jobs.
• Monitor TPAs daily to ensure claims meet SLAs and KPIs.
• Maintain job file status, WIP, and documentation with TPAs and insurers.
• Conduct regular audits to ensure data integrity and complete documentation.
• Close out jobs and ensure files are complete.
• Resolve conflicts in scheduling and customer-satisfaction issues.
